RentEra — Property Management Platform

RentEra ran on three disconnected third-party platforms — one for rent collection and lease management, another for staff payroll and work tracking, and a patchwork of spreadsheets in between. Each system was large and complex, but the business only ever used a handful of what it offered, so staff kept working around software built for someone else's workflow. RentEra needed one platform, shaped around how the business actually operates — leasing, payments, maintenance, and staff operations in a single place.

A prospect applying for a unit, a lease being approved and signed, a staff member logging a maintenance visit, and a rent payment clearing are all the same order of events — happening across an operations portal, a tenant app, a staff app, and a marketing site — and none of them can drift out of sync. Lease signing had to be legally binding for a tenant and a co-applicant, rent and bill payments had to run through a payment gateway for both card and ACH/EFT, and every maintenance visit had to be verified against the tenant's actual address before a staff work session — and its hourly payout — could start.

We built RentEra around a web operations portal, a Flutter tenant app, a Flutter staff app, and a Next.js marketing site, all backed by a single Node.js, Express, and TypeScript API with MongoDB and Redis. DocuSeal routes every lease for legally binding e-signature the moment an application is approved. Helcim processes every rent authorization and saved-method bill payment, on both the mobile apps and the marketing site checkout. Geofencing confirms a staff member is physically at a property before a maintenance work session, and its hourly payout, can begin.

Every surface talks to the same backend, so a lease, a payment, and a maintenance ticket are the same record everywhere they appear. The platform runs the portfolio; tenants get a focused app for renting a home; staff get a focused app for field and day-to-day ops; and the marketing site is the one place both a prospective tenant and a payment checkout land.
